This policy explains what personal data Medilife Impex Pvt Ltd collects through medilifeamenities.com, why we collect it, how long we keep it, and what you can ask us to do with it. It is written to comply with the Digital Personal Data Protection Act 2023 and the rules made under it.

1. Who we are

Medilife Impex Pvt Ltd is a private limited company incorporated in India, manufacturing hotel amenities and toiletries.

For the purposes of the Act, Medilife Impex Pvt Ltd is the Data Fiduciary. You are the Data Principal.

2. What this policy covers

This website and the quotation enquiry form on it. It does not cover data you give us by telephone, email, WhatsApp or in person outside the website, although we handle that data on the same principles. It does not cover third-party websites we may link to.

3. What we collect, and why

We collect only what we need to answer a business enquiry. We do not sell personal data, and we do not run advertising on this website.

We do not knowingly collect data from children, and this website is not directed at them. We do not collect financial or payment information through this website, because it takes no payments.

4. Consent, and how to withdraw it

We process your data on the basis of the consent you give when you submit the enquiry form. That consent is specific to answering your enquiry and doing business with you.

If you separately tick the marketing box, we will also send you occasional product and price updates. That is a distinct consent and you can withdraw it without affecting your enquiry. Every marketing email we send includes an unsubscribe link, and you can unsubscribe at any time at medilifeamenities.com/unsubscribe.php — no login, no reason needed. We check the unsubscribe list before every mailing.

You may withdraw either consent at any time by emailing our Grievance Officer at info@medilifeamenities.com, as set out at section 9. Withdrawal is as easy as giving consent. We will stop the relevant processing and confirm to you, although withdrawal does not undo processing already lawfully carried out, and we may keep records we are separately required by law to keep.

5. How long we keep it

Enquiries that do not lead to business are deleted twenty-four months after our last contact with you. This applies across our email, any spreadsheet and any customer record we hold.

Where an enquiry becomes an order, we keep the associated records for eight years from the end of the financial year to which they relate. That is the longest period for which tax, company and commercial law require us to retain books of account and supporting documents. We delete them after that.

6. Who else sees your data

We share personal data only where it is necessary, and only with parties bound to keep it confidential and to use it solely on our instructions. We do not sell or rent personal data to anyone.

  • Hostinger, our website and email host, which stores the site, the enquiry mailbox and the server logs.
  • Couriers and logistics partners, where samples or goods are dispatched to you.
  • Our professional advisers — chartered accountant, company secretary and lawyers — where they need it to advise us.
  • Government authorities, where we are legally obliged to disclose.

Liability for the handling of your data stays with us even where a service provider processes it on our behalf.

7. How we protect it

Enquiries sent through this form go to our own server and into a mailbox we control. They are not routed through any third-party form service. Access to that mailbox is limited to named staff, and access to customer records is limited to those who need it for their work. We keep a record of the consent given with each enquiry, so we can show what was agreed and when. We do not collect or store payment details through this website.

No system is perfectly secure. If a personal data breach occurs, we will inform each affected person and the Data Protection Board of India within the time the law requires, describing what happened, what data was involved and what we are doing about it.

8. Your rights

Under the Act you may ask us to:

  • tell you what personal data of yours we hold and who we have shared it with;
  • correct anything inaccurate, complete anything incomplete, or update anything out of date;
  • erase your personal data where we no longer need it for the purpose you gave it for, and no law requires us to keep it;
  • nominate another person to exercise these rights on your behalf in the event of your death or incapacity; and
  • have a grievance heard and resolved.

We acknowledge within seven working days and resolve within thirty days, which is the one-month limit the rules in force set for grievance redressal. If you are not satisfied with our response, you may complain to the Data Protection Board of India. The Board works as a digital office: complaints are filed and decided online, without personal appearance. Until the Board’s own portal is live, its notifications and complaint details are published through the Ministry of Electronics and Information Technology at meity.gov.in. The Act asks that you complete the grievance process above before approaching the Board.

10. Cookies and tracking

This website sets no advertising or analytics cookies. We do not use Google Analytics, advertising pixels or profiling tools. If that changes we will update this policy and, where consent is required, ask for it before any non-essential tracking is set.

11. Changes to this policy

We may update this policy as our practices or the law change. The date at the top shows when it last changed. Where a change materially affects how we use data you have already given us, we will tell you directly rather than rely on you noticing.

12. Governing law

This policy is governed by the laws of India, and the courts at Nagpur, Maharashtra have jurisdiction over any dispute arising from it.

13. Languages

This policy and the notice shown when you submit an enquiry are published in English. If you would rather read either document in Marathi, Hindi or another language specified in the Eighth Schedule to the Constitution, write to our Grievance Officer at info@medilifeamenities.com and we will arrange it at no cost.
